This Privacy Policy explains how NS FACILITIES MANAGEMENT PRIVATE LIMITED (“we”, “us”, “our”), the
publisher of SocietyCare, collects, uses, shares, and protects your information when you use the Service.
SocietyCare is a housing-society management platform used by residents, society administrators/committee
members, security guards, and operators.
Account & profile: name, email address, phone number, password (stored only as a secure one-way hash), and optional profile details such as photo, gender, date of birth, and preferred language.
Residence details: your society, building/wing, flat/unit number, ownership or tenancy status, and related occupant information.
Household members & occupants: names, contact details, relationship, and permissions (e.g., who may approve visitors) that you or your society add for your flat.
Visitor management: visitor names, phone numbers, vehicle numbers, purpose of visit, visit photos, and gate entry/exit records.
Daily help / domestic staff: staff names, phone numbers, photos, ID-proof details, and attendance/entry records (applicable to admins and guards).
Finance: maintenance invoices, amounts, payment status, and payment records (method and reference). We do not store full card numbers.
Complaints, amenities & community: complaints and comments you raise, amenity bookings, and participation in notices and polls.
b. Information collected automatically
Device & log data: IP address, device/browser type and user-agent, app version, and timestamps of key actions (e.g., logins, gate logs), used for security, auditing, and troubleshooting.
Push tokens: a device notification token (via Firebase Cloud Messaging) so we can deliver alerts such as visitor approvals and notices.
Local storage: we store your session/login token on your device to keep you signed in. We do not use third-party advertising or tracking cookies.
c. Information from third parties
Sign-in providers: if you choose “Continue with Google” or “Continue with Microsoft,” we receive your verified email address and basic profile from that provider solely to authenticate you and match you to an existing account. We never receive your provider password.
2. How we use your information
Provide and operate the Service (authentication, billing, visitor and gate management, complaints, amenities, community features).
Secure the Service — including two-factor authentication, rate-limiting, account-lockout, and audit logs to detect and prevent misuse.
Provide support, respond to your requests, and improve reliability and features.
Comply with legal, regulatory, and society by-law obligations.
We do not sell your personal information, and we do not use it for third-party advertising.
3. Device permissions (mobile apps)
The apps request permissions only for related features, and you can manage them in your device settings:
Permission
Why
Camera
Scan visitor QR codes / passcodes and capture visitor or staff photos.
Photos / Media
Upload a profile picture or attach images to a complaint.
Notifications
Deliver visitor approvals, reminders, and society alerts.
4. How we share information
Within your society: society administrators/committee members and guards can access information needed to run the society (e.g., resident directory, dues status, visitor and gate records) subject to their role. Each society’s data is logically isolated from other societies.
Other residents: limited directory information may be visible to fellow residents based on your privacy settings.
Service providers (sub-processors): we share data with vendors who help us run the Service (hosting, cloud storage, push notifications, email/SMS delivery, and — if enabled — payment processing), under agreements that restrict their use to providing those services.
Legal & safety: we may disclose information if required by law, or to protect the rights, property, or safety of residents, the society, or the public.
Business transfers: if we undergo a merger, acquisition, or asset sale, information may be transferred as part of that transaction.
5. Third-party services
The Service relies on the following third parties, each governed by its own privacy policy:
Provider
Purpose
Google (Sign-In & Firebase Cloud Messaging)
Optional social login and push notifications.
Microsoft (Sign-In)
Optional social login.
Akamai Cloud
Application and database hosting.
6. Data retention
We retain your information for as long as your account is active and as needed to provide the Service, and
thereafter as required to meet legal, accounting, tax, and society record-keeping obligations (for example,
financial and gate records may be retained for statutory periods). When no longer required, we delete or
anonymize the data.
7. Data security
Data is transmitted over encrypted connections (HTTPS/TLS).
Passwords are stored using strong one-way hashing (Argon2id) — never in plain text.
Optional two-factor authentication (authenticator app) is available for added protection.
Role-based access controls and per-society data isolation limit who can see what.
No method of transmission or storage is 100% secure, but we work to protect your information using industry-standard measures.
8. Your rights & choices
Subject to applicable law (including India’s Digital Personal Data Protection Act, 2023), you may:
Access and review your personal information (much of it is visible and editable in the app).
Correct inaccurate information.
Request deletion of your account and associated personal data (see below).
Withdraw consent for optional features (e.g., disconnect social login or disable notifications).
To exercise these rights, contact us at societycare@nsfm.in. We may need to verify your identity before acting on a request.
9. Account & data deletion
You can request deletion of your account and personal data in either of these ways:
In the app: go to Profile → and use the account/help option, or contact your society administrator.
By email: send a request from your registered email to societycare@nsfm.in with the subject “Delete my account.”
Once verified, we will delete your personal profile data. Please note some records may be retained where the
law or society by-laws require it (for example, financial ledgers and security/gate logs), in which case they
are kept only for the required period and then removed. We will confirm completion of your request.
10. Children’s privacy
The Service is intended for adult residents and authorized society personnel. We do not knowingly collect
personal information directly from children. Where a resident adds a household member who is a minor, that
information is provided and managed by the responsible adult resident or the society.
11. Where your data is stored
Your information is stored and processed on servers located in India.
If data is transferred outside your country, we take steps to ensure it remains protected in line with this policy
and applicable law.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will revise the “Last updated” date above and, where
appropriate, notify you in the app. Your continued use of the Service after changes take effect constitutes
acceptance of the updated policy.
